Privacy notice

This notice explains how Transform Recruitment collects and uses personal information when you use this website, send us your CV, register as a candidate or contact us on behalf of a school. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Transform Recruitment runs two services: Transform Education Recruitment UK, which places teachers and support staff in schools in Birmingham and the West Midlands, and Transform International, which places teachers in schools in the Middle East and North Africa.

What we collect

When you fill in a form on this website we collect what you enter. Depending on the form, that can include:

• your name, email address, phone number and where you live
• the roles, subjects, age groups and locations you are interested in
• your qualifications, experience and availability
• your CV and anything you choose to include in it
• for schools: your name, job title, school name, contact details and details of the vacancy
• anything else you write in a message to us

If you go on to work with us as a candidate, we will collect more information needed for safer recruitment, such as proof of identity and right to work, references, qualification certificates and, where the role requires it, a criminal record check (DBS or overseas police check). We will tell you what we need at that point.

Please do not include health information or other sensitive details in your CV unless you want us to take them into account, for example to arrange reasonable adjustments.

How we use it, and our lawful basis

• To find you work and introduce you to schools. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interests in running a recruitment service.
• To respond to school enquiries and supply staff. Lawful basis: our legitimate interests, and performing our contract with the school.
• To carry out safer recruitment and safeguarding checks. Lawful basis: legal obligation (including the Conduct of Employment Agencies and Employment Businesses Regulations 2003 and statutory safeguarding guidance for schools). Criminal record information is processed under the conditions in Schedule 1 of the Data Protection Act 2018.
• To keep records and deal with complaints or legal claims. Lawful basis: legal obligation and our legitimate interests.
• To tell you about new roles or events. We will only send marketing emails if you have agreed to them, and you can opt out at any time.

Who we share it with

• Schools. We only send your CV or details to a school after we have discussed the role with you.
• Referees and checking bodies, such as the Disclosure and Barring Service, to complete pre-placement checks.
• Our service providers, who process data only on our instructions: Vercel Inc. (website hosting), Resend (delivers the emails our website forms send to our team) and [email provider, e.g. Microsoft 365 or Google Workspace] (our email inboxes).
• Regulators, the police or courts when the law requires it.

We do not sell your personal information.

International transfers

Vercel and Resend are based in the United States. Where your data leaves the UK, we rely on UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or the ICO's International Data Transfer Addendum to protect it.

If you apply for a role abroad through Transform International, we will send your details to schools in that country, which may not have data protection laws equivalent to the UK's. We do this because it is necessary to arrange the job you have asked us to find, and we will only do so with your agreement.

How long we keep it

We keep personal information only as long as we need it:

• candidate registrations and CVs: [2 years] after our last contact with you
• school enquiries: [2 years] after our last contact
• records of placements and checks: [6 years] after the placement ends, to meet legal and audit duties

Form submissions are delivered by email and are not stored in a separate website database.

Keeping it safe

The website uses encrypted connections (HTTPS), our accounts are protected by [strong passwords and two-factor authentication], and only staff who need your information can see it.

Your rights

You have the right to:

• ask for a copy of the information we hold about you
• ask us to correct information that is wrong or incomplete
• ask us to delete your information
• ask us to restrict or stop using your information, or object to how we use it
• ask us to transfer your information to another organisation
• withdraw your consent at any time, where we rely on consent

To use any of these rights, email us at the address above. We will reply within one month. There is no charge.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
